By engaging with The Photo Team Photography Ltd or any associated brand — Events Paparazzi, Open Photo Booths, Video 360 Booth, RoboticVideoBooth, or Snap N Share — you agree to be bound by these Terms and Conditions.
By paying any invoice issued by The Photo Team or its brands, you confirm that you have read, understood, and accepted these Terms and Conditions in full.
If you do not agree, you must immediately cease using our websites or services.
The Photo Team reserves the right to update these Terms and Conditions at any time without prior notice. Continued use of our websites or services after updates constitutes acceptance of the revised terms.
“The Photo Team” refers to The Photo Team Photography Ltd and all affiliated brands:
“Client/You/Your” means any individual, company, or organisation booking or engaging our services.
“Service(s)” refers to all photography, videography, and experiential event services provided by any brand.
“Confirmed Booking” means a booking secured with payment and written confirmation.
“Captured Media” includes all photos, videos, or digital content produced by The Photo Team.
The Photo Team and its brands deliver professional event photography, videography, and interactive experiences, including:
All services are subject to these Terms and Conditions.
The Photo Team may modify or supplement these Terms and Conditions at any time without prior notice.
The latest version will always be available on our websites. Continued use of our services after any modification constitutes acceptance of the revised terms.
By engaging our services, you grant The Photo Team a perpetual, worldwide, irrevocable, non exclusive, royalty free licence to use any captured images or footage for promotional and marketing purposes, including:
Opt Out Policy:
If you do not wish for imagery from your event to be used, you must notify us by email prior to your event date. Written notification is sufficient; a separate NDA is not required for standard commercial events.
NDA Policy:
Where a Non-Disclosure Agreement (NDA) is required (for example, for VIP or private events), it must be agreed and signed before booking confirmation. Any NDA requested after confirmation may not be accepted or may attract an additional administrative fee.
The Photo Team does not provide working files, project files, editable timelines, or source project data under any circumstances.
This includes, but is not limited to:
• Adobe Premiere project files
• Final Cut project files
• DaVinci Resolve project files
• After Effects files
• LUTs, presets, templates, plugins, or internal workflows
Such materials remain the sole intellectual property of The Photo Team and form part of its proprietary production process.
This policy is strict and non-negotiable.
Raw, unedited footage may be supplied only upon written request and subject to an additional agreed fee.
For the avoidance of doubt:
• Raw footage is supplied strictly “as captured” from camera and audio recording devices.
• No colour grading, exposure correction, audio balancing, sound design, stabilisation, transcoding, file conversion, organisation, or quality control beyond basic file integrity is included.
• Files may be supplied in their native recording formats and codecs. The client is responsible for ensuring they have the necessary software, hardware, storage capacity, and technical knowledge to access and work with such files.
Once raw footage has been delivered:
• The Photo Team accepts no responsibility for how the footage is edited, interpreted, modified, stored, archived, or distributed.
• The Photo Team provides no technical support, workflow guidance, editing advice, file troubleshooting, or compatibility assistance.
• It is assumed that any client requesting raw footage possesses the professional capability to manage and work with such material.
This applies equally to all associated audio files and recorded media.
Any assistance requested in relation to raw footage after delivery, including technical advice, troubleshooting, conversion, re-exporting, or workflow guidance, will be chargeable at £150+VAT per hour.
Such support must be prepaid in full via invoice before work commences.
Where video editing services are included within a booking:
• A limited number of minor revision requests may be permitted.
• Minor revisions include small text amendments, removal of short clips, or basic trimming adjustments.
• Structural re-edits, creative direction changes, style changes, pacing changes, music swaps, or full re-cuts are not included and will be quoted separately.
Failure to request revisions within 7 days of delivery shall constitute full acceptance of the final video.
A booking is only confirmed once The Photo Team has received a deposit or full payment and issued written confirmation.
Tentative enquiries, provisional holds, or unpaid quotes do not secure availability. The Photo Team accepts no liability for dates released to other clients prior to confirmation.
Upon confirmation, The Photo Team will provide standard documentation required by most venues, including:
Requests for these documents before confirmation will be refused.
The Photo Team will not complete, submit, or register on any third party portals, venue forms, or contractor systems (including loading bay forms, health and safety declarations, supplier portals, or online submission links).
Completion of such documents is the client’s sole responsibility.
If a client requests The Photo Team to complete or upload information to a venue portal or third-party system, an administration fee of £100+VAT per event will be charged and must be paid in advance.
Failure by the client to complete venue access forms or obtain required approvals will not constitute grounds for cancellation or refund.
For health, safety, and equipment protection reasons, clients must clearly state at the time of booking if the event will take place outdoors, partially outdoors, or under temporary cover (e.g. marquee or gazebo).
If the outdoor nature of an event is not disclosed prior to booking, or if the working environment is judged by the attending team to be unsafe, exposed, or unsuitable due to weather conditions (including rain, wind, cold temperatures, or uneven ground), The Photo Team reserves the right to refuse or suspend service without refund or liability.
The client remains responsible for providing a safe, level, and sheltered working area with suitable electrical access.
The Photo Team’s decision on site regarding safety and equipment protection shall be final.
For Open Photo Booths and Video 360 Booths, Robotic Video Booth setup must be on a hard, level surface indoors or under solid, weatherproof cover.
Setup on grass, gravel, mud, decking, or uneven surfaces is strictly prohibited unless a solid platform or flooring is provided by the client.
Failure to meet these conditions may result in non installation, delay, or cancellation without refund.
Operational time is defined as the period during which the booth, camera, or service is active and available for guest use.
Idle time includes setup, testing, standby between sessions, or waiting for access.
All time on site, whether operational or idle, is chargeable at the agreed rate.
Where early access is required by the venue or client, this must be pre-agreed and will be invoiced accordingly.
If access is delayed due to venue restrictions, security, or client mismanagement, this time remains billable.
The client is fully responsible for:
Failure to meet these obligations may result in delays or service refusal without refund.
Upon delivery of any online gallery, preview link, or download portal containing Captured Media, the Client is responsible for reviewing the gallery prior to downloading any files.
If the Client has any concerns regarding editing, colour grading, cropping, exposure, retouching, or general image quality, they must notify The Photo Team in writing before downloading any images.
Once any image is downloaded from the online gallery or delivery platform, this shall constitute full acceptance of the gallery and the quality of the delivered images in their entirety.
After any download has occurred:
The Photo Team is under no obligation to make retrospective edits once images have been downloaded.
Failure to raise concerns prior to download shall be deemed acceptance of the delivered work.
The Photo Team shall not be liable for any direct, indirect, incidental, or consequential damages arising from use of its services or equipment.
Clients agree to indemnify and hold The Photo Team harmless against claims or losses arising from:
The Photo Team is not liable for failure to perform its obligations due to circumstances beyond its control, including natural disasters, pandemics, acts of terrorism, war, civil unrest, or equipment breakdown. No refunds or credits will be issued for such events.
By paying any invoice issued by The Photo Team Photography Ltd or its associated brands, you confirm that:
